Notifications

Types of notifications

Every notification type on the platform: what triggers each one and who receives it.

Signal PlayBook AI sends targeted notifications so the right people are informed at the right time.

Report Submitted

Sent to a staff member's direct manager, Head of Office, Chiefs of Staff, and any CC recipients after the 30-minute edit window closes, ensuring recipients always see the final version. If the same person qualifies more than once (e.g. is both the direct manager and a CC recipient), only one notification is sent. When multiple team members submit within the same 30-minute window, their reports are bundled into a single digest email rather than sending one email per submission.

Report Confirmation

Sent immediately to the report author after submission. The email confirms whether the report was received on time or marked late.

Report Mention

Sent when you are @mentioned in a report field, a discussion comment, or a reply. Includes a direct link to the report. Mention notifications from report fields and edits are delayed until the edit window closes; comment and reply mentions are sent immediately.

Comment on Report

Sent to the report author when a manager or reviewer opens a discussion thread on their report. Only managers and reviewers (users with report access) can start a top-level comment. Report authors can only reply within an existing thread.

Authors cannot open a new comment thread on their own report. If there are no existing comments, you cannot reply yet. Wait for your manager to initiate the discussion.

Reply to Comment

Sent to the original commenter when someone replies to their comment thread.

Deadline Reminder

Sent to staff who have not yet submitted as the office deadline approaches. Admins configure one or more reminder windows (for example, 24 hours and 3 hours before the deadline). Each window fires a separate reminder if the report has not yet been submitted. Users marked exempt from report submission do not receive deadline or overdue reminders.

Risk alerts (immediate)

Sent directly to a manager the moment their direct report submits, not delayed by the edit window. Triggers: morale score ≤ 2 (low morale alert) and workload score ≥ 4 (high workload alert). Managers can enable or disable these in their notification preferences.

Priority Digest

A morning email sent automatically on workdays when you arrive at the office (within 30 minutes of the office opening time configured by an Admin). The digest shows each team member's committed next-week priorities from their most recently submitted report for the current week, giving you a quick overview of what your team plans to focus on before the day starts.

Priority Digest must be enabled per office by an Admin (Admin → Org → [Office] → Edit → Priority Digest). Individual users can opt out in Profile → Notifications.

CC recipient changes

When a Head of Office adds a CC recipient for a staff member: the newly added recipient is notified in-app that they now have access to that person's reports. The staff member (report author) is also notified, listing exactly who was added. When a CC recipient is removed: both the removed recipient and the report author are notified. These notifications fire immediately when changes are saved.

Account and system alerts

Users may also receive account activation, deactivation, scheduled deletion, deadline-change, summary-published, and status-change notifications.
